Purpose of the Job

The Finance Manager will demonstrate CEO, showing initiative, innovation and business savvy approach to the financial dealings of the organisation. The position is responsible for the overall finance functions of the organisation, including management reporting, audit support, budgeting, accounts payable and receivable. The position is also responsible to oversee improvement of financially related internal controls and processes across the wider organisation and to support the operations through effective management of suppliers.

Job Description

Financial Management

In consultation with the CEO, improve internal controls within organisation
Develop comprehensive budgets for each subsidiary and the Group
Optimise management of the debtors and creditors ledgers within policy guidelines
Establish and manage service agreements for external contractors
Establish and manage debit card processes with staff that focus on timely acquittals, as well as developing systems that focus the debit card holder on best practice substantiation with appropriate documentation
Analysing market trends and competitors
Predicting future financial trends
Collecting, interpreting, and reviewing financial information
Accounting Services
Budget/target setting, management, review against actual expenditure and the production of monthly management accounts (Income Statement, Balance Sheet and Cash Flow Statement).
Re-forecast income and expenses monthly in consultation with Head of the Departments within the various subsidiaries
Manage the workload and outputs of the finance team to ensure financial processes and records are maintained and delivered in an accurate and timely manner including responsibilities for:
Monthly payment of creditor accounts within trading terms.
Production and distribution of invoices for goods and services rendered no later than 5 working days from the date of providing service.
Management of debtors within acceptable trading terms (no later than 45 days) and work with debtors to reduce outstanding debts to current trading terms.
General ledger and bank reconciliations on a monthly basis ensuring that all accounts reconcile
Overseeing and authorising financial transactions ensuring all staff work within their financial delegations.
Review and keep Fixed asset register up to date
Calculate and Submit the PAYE in a timely manner to SARS
Calculate and Submit the Value Added Tax (VAT) in a timely manner to SARS
Calculate and submit the Income Tax in a timely manner to SARS.
Manage end of year reconciliations with the company’s General Ledger system.

Budgeting/Reporting & Payroll Management

Support the leadership team to manage the financial aspects of their individual departments, including supporting the development of their annual operational and capital expenditure budgets, monitoring income and expenditure and taking appropriate and timely measures to address any variances.
Report monthly to the CFO on variances from the established budget, and the reasons for those variances.
Assist departmental managers to obtain relevant financial information, advice and Modelling to support department reporting, growth proposals and forward planning.
Developing long-term business plans for the various subsidiaries and the Group
Manage and report on the monthly payroll function for the business. Support HR team in day to day payroll requirements

Funds Management

Forecast cash flow positions, any related borrowing needs, and available funds for investment.
Ensure that sufficient funds are available to meet ongoing operational and capital investment requirements.
Maintain and improve banking relationships
Assist the CFO in determining the company’s proper capital structure.
Ensure assets are appropriately valued and registered
Invest funds in accordance with Board direction.

Risk Management

Foster a risk management culture ensuring identified risk is managed appropriately in accordance with its risk rating.
Monitor for irregularities and risk and provide timely advice to the CFO on matters of concern that could adversely impact the organisation.
Ensure finance team staff are appropriately trained and credentialed to facilitate a well-controlled financial environment.

Business Improvement

Engage in benchmarking studies to establish areas of potential operational improvement.
Compile key business metrics in major areas and report on them.
Review financial scheduling and processes and recommend changes to improve the smooth operation and overall efficiency of financial operations.
Provide support, including financial analysis, for tenders, funding submissions and fundraising initiatives.

People and Culture

Contribute to an organisational culture that is positive, effective and supportive of staff, supported employees, participants and volunteers.
Collaboratively develop clear work objectives and key performance indicators to ensure people within the position’s span of control work effectively and are accountable for their work and actions, including adherence to company policy and procedure.
Maintain a schedule of team meetings to ensure effective communication, engagement and collaboration between finance team members.
Manage the staff necessary for the achievement of the finance departmental goals, including but not limited to:
Recruitment, induction, and exit processes (with support from HR),
Establishing KPIs for each position, and monitoring and measuring outcomes
Coaching and professional development
Individual support and supervision
Performance reviews and performance management as required

Stakeholder Relations

Manage the complaints, compliments and feedback process relating to the finance department to ensure timely resolution and contribution to continuous quality improvement.
Maintain and grow relationships with company’s current and potential banking institutions.
Develop financial information for the CFO, Finance Committee and Board within specified timeframes and ad hoc as required.

Compliance

Contribute to the development, implementation and review of the finance department including policies and procedures.
Ensure the maintenance of accurate records within a secure environment that protects financial confidentiality in accordance with relevant privacy legislation.
Ensure that all financial practices align with all relevant laws, standards, regulations and guidelines.
Prepare financial acquittals in accordance with funding and contractual requirements.
Assist in preparing the financial records for the annual audit and work closely with the auditors.

Take all reasonable care to protect the health and safety of yourself and others.
Contribute to the identification, recording and management of incidents, accidents and hazards in accordance with established policies and procedures.
Ensure all financial activities are appropriately risk assessed and managed.

KNOWLEDGE & SKILLS

Thorough understanding of financial governance practices
Risk Management practices and principles Business Acumen
Financial budgeting and management processes Fixed Asset protocols
Advanced level skills in Ms Excel and proficient across a range of Ms suit platforms and other reporting systems and tools
Experience in leading / managing employees
High level attention to detail
Ability to work on tight deadlines

Role Qualifications  and Experience Requirements

Finance/Accounting degree (Hons)
CA SA (Chartered Accountant SA) qualified is essential

5 – 8 years relevant work experience in Accounting / Finance
Driver’s License and own transport
Financial leadership qualities backed up by exceptional analytical and numerical skills
