Job Overview

Purpose for the Job

  • Under the coordination of the Service Manager and in collaboration with the company’s units contribute to the Service Division by being primarily responsible for the successful and effective execution of all administrative processes within the Service Division of organisation Region.  Region. Administrative processes for Projects, Contracts, day-to-day services and general administration.
    • Supporting Service Activities in the overall promotion of the company and its products/services.

Responsibilities

  • Ensure compliance with service administration procedures and instructions, as specified in the quality management system (QMS).
  • Contribute to the well-being of the company by maintaining positive working relations with colleagues and members of support structures.
  • Protect the organisation’s values by keeping information confidential.
  • Adhere to the organisation’s  Authorisation Rule.
  • Abide by the company’s health and safety policy by ensuring the following:
  • Must execute work in such a way as to not endanger himself/herself or others.
  • Must inform himself/herself about Health and Safety instructions and procedures and participate in organised training.
  • Must take care of optimal working conditions by using equipment in the correct manner and by instructions.
  • Must alert noticed dangers to the managerial staff.
  • Adherence to the company’s Code of Conduct, Anti-Bribery/Anti-Corruption policy, HR Manual, Quality Management and Accounting procedures and align with corporate objectives and any other organisation’s compliance guideline documentation related to the job specification.
  • Manage and execute administrative processes around Project/Contract phases etc. to allow effective process flow and timeous execution.
  • Assist with coordination and execution of Service Projects and Annual Maintenance Contracts.
  • Assist in managing process flow through CRM/SAP/ServAir/Service and DProcure.
  • Keeping and maintaining records and track of Service work in SA and AAR.
  • Keeping and maintaining records and track of Service Equipment calibration.
  • Keeping and maintaining records and track of Service team medicals and other certifications.
  • Assist with the development and implementation of an auditable system for liaison between the  Region and international.
  • Travel Coordination and reconciliation of local and overseas travel, including financial controls for AAR operation.
  • Ensuring service notes, information, and memos are executed in SA and AAR.
  • Ensuring emergency call-out escalation and tracking to confirm action is being taken.
  • Monthly reporting assistance to the Service Manager.
  • Invoicing and accounts receivable tracking and follow-up
  • Invoicing and financial reporting support.
  • Assist with custom clearances and shipment of goods to AAR etc.
  • Carry out, any tasks as deemed necessary by the Service Manager and respond positively to any other reasonable request about the job.

Job Requirements and qualifications

  • Grade 12 with minimum 2 years in Automation and Control Service Delivery.
  • A formal qualification in Process Instrumentation/ Commerce/Office administration would be advantageous.
  • Some form of electrical engineering background will be advantageous.
  • Moderate to advance knowledge of MS Excel.
  • Strong Administration and Document Control skills.
  • Strong verbal and written English communication skills.
  • Good commercial awareness and basic budgeting / financial knowledge.
